Proposal for Funding Request for $1,534 was presented and approved at the September Board Meeting. Final Expenditures follow:

Pumpkins as markers: $11
Novelties: $86.79 (Returned: -$31.60, + $5.79 postage, new order +$25.75= +$31.54)
Boxed Juice: $108
Ryan Majestic: $150
Hand Held Stop Signs: 10 = $219.56
Miscellaneous: $100 (postage: $36.75, water: $5.11, and decorations)
TOTAL: $ 1,421.39 ( $112.61 UNDER BUDGET!!)

Fundraising and Events Planning Committee (FEPC) August 26, 2005 Minutes Meeting
1. Call to Order at 6:45pm by Perla Miranda. 8 people were in attendance, 7 actual FEPC’s members, 1 general public.
2. Reading and approval of minutes of previous committee meeting. This was already done by e-mail. Minutes are posted on the FEPC’s section of the atwatervillage.org web site.
3. Planning the Atwater Village Fall Festival (Trick-or-Treat on Glendale Blvd.) Name of the event was ratified by the members in attendance with one small change suggested by Luis López: remove Glendale from it, so the event won’t be mistaken as a City of Glendale event).
Name: Atwater Village Fall Festival (Trick-or-Treat on the Boulevard).
Date: Friday, October 28th, 2005.
Time: 4:00pm until 5:30 (If merchants participants wish to extend it past 5:00pm).
Perla mentioned that Glenfeliz Elem. School will hold its Halloween Parade on that date this year as well. She will find out if Holy Trinity and Atwater Elem. School will also held their Halloween activities on the same day like last year, the 3 schools held their parade on the morning or early afternoon of the date of our event.
Location: remains unchanged, from Glenhurst/Glenfeliz intersection until Brunswick’s. Perhaps next year will be extended.

c. Business Recruitment (list of businesses on Glendale Blvd., letter draft approval, mailing and follow up)
c. Advertisement: Flyer draft approval, banner, written media, TV, e-mail, AVRA’s newsletter, Churches bulletins (Ask OCC’s help), passing flyers at Participating Businesses, Farmer’s Market, houses with Halloween decorations, multi-unit buildings and in front of Schools (assign 3 or more people to count and provide mini-flyers for students at each school in Atwater Village, announcement on the day of the Event, plus flyering around school as reminder)
d. Candies and chocolate (who will buy them, who will storage them, who will pre-distribute them, who will distribute them, and Receipt sign in sheet on the day of the event). PTA Glenfeliz/ buy chocolates bars from them?
e. Safety (who’ll contact Gina Chovan/remind her, who will be in charge of crossing guards, [how many crossings], vests, stop signs?)
f. Balloons (who will inflate them, refill tank or buy helium tank at LA Balloons at San Fernando Road, Glendale?, strings, distribute balloons.)
g. Drinking posts (buy apple cider, and boxed juice, cauldron, etc.? Who will be in charge? Locations?)
h. AVNC table, OCC outreaching? Who will hand out AVNC paper bags?, balloons?, whistles or pumpkin necklace?, chocolate bars?, sign in sheet (as attendance record of some sort)
i. Additional entertainment, Ryan Majestic? Pumpkin patch? etc.
j. Photos (Who will be in charge? Sandra Caravella?)
k. Clean-up
l. Thank you letter to participating businesses (Who will write and mail these letters?)

Fundraising and Event Planning Committee Report
1. Volunteer Appreciation Day /Garden Awards Event took place on June 26, 2005 from 2:00pm until 4:30pm at the Paddock Riding Club located at 3919 Rigali Ave., North Atwater Village.
2. This was a two in one event in order to better utilize our resources.
3. We stayed almost $400 under budget!
